Who we are

Kwotable is a trading name of Sharland Vaval ("we", "us"). We are the data controller for the personal data described here. Data protection contact: hello@kwotable.co.uk.

Correspondence/service address: Unit 1, Swan Centre, Rosemary Road, London SW17 0AR.

Contact: hello@kwotable.co.uk

What we collect, and why

When you book or send a request: your name, your phone number or email, the services and time you chose, and any note you add. We use this to pass your booking to the business you chose and to send you a confirmation. Our lawful basis is taking steps at your request to arrange a booking (contract).

How you found the page: if you arrived from an AI assistant or search tool (for example ChatGPT), we record which one. We use this to report to the business. No booking commission or AI-source fee applies to new requests. This does not revise historical billing records or earlier written agreements. Our lawful basis is legitimate interests.

Security records: your IP address, kept for a short time, to stop spam and abuse of the booking form. Our lawful basis is legitimate interests.

When you use Kwotable inside ChatGPT: ChatGPT sends us only what our tools need: what you are looking for (for example "bike service Tooting"), the business and jobs you pick, and, only when you choose to send a request, your name, phone or email, your chosen day or time and your note. ChatGPT also sends an anonymous user code; we store a scrambled (hashed) copy of it with the request time for up to one hour, only to stop abuse (rate limits). We do not receive or keep your ChatGPT conversation, and we do not use your precise location. Requests you send are handled exactly like requests made on our website (see above).

Business owners: your name, contact details, price list and login records, so we can run your page and your account (contract).

We do not ask for health, payment card or other sensitive details on booking forms. Please do not put them in the notes box. You pay the business directly; Kwotable does not take or store your card details.

Who we share it with

The business you booked. They receive your name, contact and booking details so they can serve you. They are responsible for how they use them.

Our service providers: our server host (OVHcloud, servers in the United Kingdom) and our email delivery provider, who process data only on our instructions.

We do not sell your data. We do not use it for advertising.

How long we keep it

Booking records: 24 months after the booking date, then deleted or anonymised. Security records (IP addresses): up to 30 days. Business account records: for as long as the business uses Kwotable, then up to 6 years where the law requires records to be kept.

Cookies

We use one essential cookie to keep the booking form secure and to keep business owners signed in. We do not use advertising or tracking cookies.

Your rights

You can ask us for a copy of your data, to correct it, to delete it, to restrict or object to how we use it, or to move it elsewhere. Email hello@kwotable.co.uk. We reply within one month.
